COMMUNICATIONS AND MEMBERSHIP COORDINATOR (Part-time)

The University Women’s Club of Winnipeg (UWCW) brings women together to learn, grow, share, and thrive. JOB SUMMARY
The Communications and Membership Coordinator is responsible for managing UWCW internal and external communications, promoting internal and publicly accessible activities and events, and coordinating membership recruitment and retention activities. As part of the UWCW staff team the incumbent supports the marketing and promotion of fundraising and venue rentals, and other activities as may be required from time to time.
SPECIFIC ACCOUNTABILITIES
- Communications and Marketing
- Executing the UWCW communications and marketing plan and evaluating tactics on an ongoing basis using web analytics and other appropriate methods
- Managing the UWCW member and public-facing website content using WordPress
- Designing and overseeing production of internal and external promotional materials for all the club’s lines of business including membership, activities, fundraising, and venue rentals.
- Promoting UWCW using print materials, email, internet and social media platforms
- Designing, preparing and distributing the UWCW monthly Bulletin, Bulletin highlights, and other information
- Attends meetings of the Communications/Membership Committee to provide technical and strategic advice and reports as requested by the Chair and to follow up on committee decisions.
- Serve as a point of contact for media outreach
- Membership
- Executing the UWCW membership recruitment and retention plan; receiving and processing prospect inquiries and membership applications, including welcome package and email; ensuring Member Benefits are provided (example: name tags)
- Managing Membership renewal process (computerized records, mailings, payment processing) in collaboration with the Finance Coordinator
- Developing and maintaining the membership database and files, following PIPEDA guidelines for data collection, to support effective and personalized communication with members
- Preparing and updating the online / print membership directory, distributing as needed
- Statistical tracking and analysis of non-renewing members
- Planning, organizing and executing Member recognition events (e.g. quarterly birthday celebrations). This includes liaison with Club Coordinator, ensuring supplies required are available in advance, liaison with Caterer if required, set up, service and clean-up of the event and property. When requested by the Membership Chair, sends cards or flowers to members e.g. special occasions, get well, sympathy.
- Supporting UWCW Community Outreach
- Providing advice and promotion support, as resources permit, to advocacy, fundraising and venue rental initiatives
- Maintaining a list of interested external contacts to receive selective notices of club events
- Supporting UWCW activities and events
- Providing cross-functional support to club activities and events as required
REPORTING RELATIONSHIP
The Communications and Membership Coordinator reports to the Vice President Management. The incumbent works closely with the Chair, Communication and Membership Committees; collaborates with club management, committee chairs, Club Coordinator, Finance Coordinator, and the Events Coordinator.
EMPLOYMENT
This is a part time position approximately 20 hours per week. Work space will be provided at Ralph Connor House; some elements of the job may be performed remotely. Able to assist with club functions (e.g., lift/move items up to 30 lbs and navigate stairs as required). The following certifications are required for this job: Smart Choices; Food Handlers; Vulnerable Persons Check.
STATEMENT OF QUALIFICATIONS
- Post-secondary degree or diploma in communications or an equivalent combination of education and experience
- 2 or more years experience in creating and managing print and digital communications from design to production
- Demonstrated proficiency in MS Office (Word, Excel, e-mail management)
- Experience in creating, and managing and monitoring social media messaging channels (E.g. Facebook, Instagram)
- Proficiency in the use of MailChimp (mass email platform), Canva (graphic design program) and WordPress (website platform).
- Excellent organizational abilities with attention to detail
- Demonstrated customer service orientation
- Excellent oral and written communication skills to meet club and customer needs
- Ability to work under pressure managing multiple projects
- Time management skills
- Demonstrated team player
- Valid Manitoba driver’s licence an asset
